TERMS AND CONDITIONS FOR UNIVERSITY CONTINUING EDUCATION PROGRAMS, BACHELOR'S PROGRAMS, MASTER’S PROGRAMS AND CERTIFICATE PROGRAMS OF THE UNIVERSITY OF VIENNA

1. SCOPE
These terms and conditions apply to all university continuing education programs, bachelor's programs, master’s programs and certificate programs (with the exception of the continuing education program "Psychotherapeutisches Propädeutikum" and the certificate program "Theorie der Personzentrierten Psychotherapie", henceforth "continuing education programs") offered by the Postgraduate Center of the University of Vienna. These terms and conditions are part of the registration and application for admission submitted by the applicants via the website of the Postgraduate Center.

2. REGISTRATION, SELECTION PROCEDURE, APPLICATION FOR ADMISSION

2.1 Registration

The registration for participation in continuing education programs is done online via the form provided on the website of the Postgraduate Center. Persons submitting a registration do not have a claim on participation. The number of study places is limited. Admission to a continuing education program is subject to a selection procedure according to the number of study places available, the time of registration, the qualification of the applicant and, if applicable, an admission interview.
Any application deadlines are published on the website of the Postgraduate Center.

2.2 Selection procedure
To be admitted to a continuing education program, all applicants have to successfully complete a selection procedure. The academic director is responsible for the selection procedure. The basis for the selection procedure is the relevant curriculum published in the University Gazette of the University of Vienna and the Universities Act as amended. 

2.3 Application for admission
Following acceptance by the Postgraduate Center, the applicant receives all required information about the application for admission.

2.4 u:account and initial registration for students
After the applicant has been notified of their admission to the continuing education program, the program management will send them relevant information and ask them to create a u:account and complete the initial registration for students on u:space.

2.5 Legalisation
Depending on the issuing country, the applicant may have to submit legalisations of their documents. If there are legalisation provisions relating to the country that issued the documents, the documents must already be legalised when the applicant submits their application. The legalisations must be attached to the original documents. The basis for the required legalisation is the current applicable provisions. 

2.5.1 Apostille
If documents have to be legalised in the form of an apostille, the applicant contacts the ministry of foreign affairs in the issuing country. In some countries, the ministry of justice or the ministry of education are responsible for issuing apostilles

2.5.2 Full legalisation
For the full legalisation of the documents, the applicant requires confirmations from the ministry of education as well as the ministry of foreign affairs in the issuing country (in some countries, the ministry of justice is responsible). As a last step, the Austrian representative authority (embassy or consulate) responsible for the country that issued the documents has to additionally legalise these confirmations. For some countries, the additional legalisation by the Austrian representative authority is required. In this case, the applicants require an attestation clause by the education ministry or ministry of foreign affairs. 
Applicants whose documents are issued by the People’s Republic of China require a confirmation from the Akademische Prüfstelle (academic examination office) of the German Embassy in Beijing in addition to the legalised documents.

2.5.3 Translation
All documents required for the application procedure must be translated (after they have been legalised) if they were not issued in German or English. The documents have to be translated by a sworn and certified translator. The translation can only be done after the documents have been legalised, as the legalisation stamp must be translated as well.

3. PROGRAM FEE AND PAYMENT MODES
According to section 64, para. 5 of the Universities Act, participants of university continuing education programs have to pay a program fee. Participants of certificate programs have to pay a program fee. The amount of the fee is determined by the Rectorate taking into consideration the actual costs.

3.1. Amount and payment of the fee
The amount of the program fee is published on the website of the Postgraduate Center of the University of Vienna.
The program fee must be paid upon receipt of the invoice according to the mode of payment selected in the registration mask.
Participants have the opportunity to inform us during registration that a third party covers the costs. In this case, the participant has to specify the address of the person paying the invoice.

3.2. Students’ Union fee (ÖH fee)
All students of the University of Vienna, including participants in continuing education programs, have to pay a compulsory fee to the Austrian National Union of Students (henceforth “ÖH”) every semester. The Students’ Union fee is already included in the program fee. 

3.3 Claiming additional study semesters
To claim additional study semesters exceeding the stipulated program duration, the regulation of the Rectorate determining tolerance semesters, published in the University Gazette of the University of Vienna on 13 September 2018, number 240 mtbl.univie.ac.at/storage/media/mtbl02/2017_2018/2017_2018_240.pdf, applies.
If participants do not complete a continuing education program within the stipulated program duration, they are allowed one tolerance semester for continuing education programs comprising 60 ECTS credits; and two tolerance semesters for continuing education programs comprising 90 to 120 ECTS credits (subject to no additional program fee).
For any other additional semester, participants have to pay an additional program fee of currently EUR 380. This additional fee also includes the ÖH fee. If the participant does not pay this fee within the relevant period, the re-enrolment becomes ineffective.

3.4 Cancellation policy
Participants have to cancel their registration in writing by submitting the deregistration form.
Participants may cancel their registration within 14 days following the notification of admission. Upon expiry of the cancellation period, participants may deregister no later than six weeks prior to the beginning of the program. In this case, participants have to pay a cancellation fee amounting to 10 % of the program. If participants cancel or drop out from the program at a later point in time, the cancellation fee amounts to 100 % of the total program fee. Any payments due must be made. Withdrawal or early termination of a program do not result in a reimbursement of the program fee.

3.5. Index-linked price adjustment:
To maintain the value of the costs of the continuing education programs, the program fees are adjusted every two years based on the consumer price index (CPI 2010).

4. CANCELLATION/CHANGE OF THE CONTINUING EDUCATION PROGRAM
The Postgraduate Center of the University of Vienna reserves the right to cancel a continuing education program prior to its start. In this case, any paid programme fees are reimbursed to the participants. The academic director reserves the right to make short-term changes to the study programme, changes to the course locations or any other necessary organisational deviations, such as changing to hybrid or digital formats.

5. CHANGES OF PERSONAL DATA
In accordance with section 59, para. 2, subpara. 1 of the Universities Act, students are obliged to immediately notify the University at which they are admitted of any changes to their name or address.

6. DATA PROTECTION
Information about the type of data collected, the legal basis, the storage period as well as information about the protection of data is available in the Data Protection Declaration of the University of Vienna. During registration on the website of the Postgraduate Center of the University of Vienna, applicants are confirming that they have read, understood and accepted the Data Protection Declaration. If the implementation of a continuing education program requires the transfer of data to cooperation partners or funding bodies, the data are transferred to the relevant cooperation partners and funding bodies.
